Phenom Elevate Privacy Policy

Phenom Elevate is operated by Phenom Athletics LLC ("we," "us"). This policy explains what we collect, how it's used, and — importantly — what your employer can and cannot see.

How Phenom Elevate is provided

Your employer purchases Phenom Elevate and invites you to use it. That makes your employer our customer and you a user of the service. It also means we have obligations to both of you, and those obligations sometimes point in different directions. This policy is specific about where we've drawn those lines.

What we collect

Account information. Your name, work email address, and optionally a profile photo. Your employer provides your email address when inviting you; you provide the rest.

Engagement records. The dates you use the service, which activities you completed, and points and streaks earned.

Coaching content. When you use Rep, our AI coach, we record which topic area you worked on, the specific commitment you wrote for yourself, and whether you marked it complete. We do not store the conversation itself — your messages to Rep and Rep's replies are not written to our database.

Financial Performance content. If your employer's plan includes it and you choose to use it, we store what you enter: assessment answers, and figures from exercises — which may include account balances, income amounts, interest rates, and notes you write.

Written reflections. Notes, journal entries, and intentions you choose to write.

Technical information. Timezone, notification preferences, and device identifiers if you enable notifications.

We do not sell personal information, and we do not use your content to train AI models.

What your employer can see

Administrators at your company can see:

• Your name, email, and whether your account is active
• Whether and when you last used the service
• Your current and longest streak, and total points
• Company-wide summaries, which we withhold entirely for companies with fewer than five people

Administrators cannot see:

• Anything from your Rep coaching sessions — not the topic, not the commitment you wrote, not whether you completed it
• Any Financial Performance information
• Your written reflections, notes, or journal entries
• Your progress through individual pillars

This is enforced in our database, not just hidden in the administrator interface. An administrator has no technical route to this information.

What colleagues can see. Your name, photo, streak, and points appear to others at your company on leaderboards and activity feeds, along with which activities you completed. Your written notes never appear there.

Who else processes your information

We use a small number of service providers. Each is bound by contract to protect your information and use it only to provide their service to us.

Anthropic powers Rep. When you use Rep, we send Anthropic your first name, your current streak, your personal habit goal if you've set one, and where you are in the coaching curriculum — along with your message. For Financial Performance coaching we also send your Financial Fitness Score, its component scores, and which money topic you're working on.

We do not send your email address, last name, employer name, or any identifier that would let Anthropic connect the conversation to you. Anthropic does not use this information to train their models.

Supabase hosts our database and handles sign-in. Vercel hosts the application. Stripe processes your employer's payments; we never see or store card details. Resend and Google send email. Google and Apple deliver push notifications if you enable them.

All are located in the United States.

How long we keep information, and how to delete it

We keep your information while your account is active.

You can delete your account at any time from your profile page. This is permanent and takes effect immediately.

When you delete your account, we permanently remove your Rep coaching records and commitments, all Financial Performance information, your written reflections and notes, your badges, your profile photo, and your name, email, habit and goals.

We keep a record of the dates you were active, which challenges you joined, rewards you redeemed, and streak milestones you reached — with your notes stripped and your name removed. We keep these because your company's totals include this activity, and removing it would retroactively change reported numbers for your colleagues. On leaderboards you appear as "Someone," without name or photo.

After deletion you cannot sign back in. If you later join a company using Phenom Elevate, you can sign up again with the same email address.

If your employer removes you — offboarding — that's different. Your access ends, but your information is retained, because your employer's records of their own program remain theirs. If you want your personal content deleted, use the deletion option above before your access is removed, or contact us.

We also keep a minimal record that a deletion occurred: an internal identifier, your company, and the date. It contains none of your content.

Your choices

You can edit your name and photo, turn email reminders off, turn push notifications off at any time, and delete your account.

You can choose not to use Rep or Financial Performance. Those features only store what you enter.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your information, and to know how it's shared. Email privacy@phenomelevate.com and we'll respond within 45 days.

If you're a California resident, this includes rights under the California Consumer Privacy Act, and applies to information collected in an employment context. We don't sell personal information or share it for cross-context behavioral advertising. We won't discriminate against you for exercising these rights.

Security

Information is encrypted in transit and at rest. Access to your personal content is enforced at the database level: our system is built so that only you can read your own coaching, financial, and written content. We restrict internal access to what's needed to operate and support the service.

No system is perfectly secure, and we can't guarantee absolute security.

Age

Phenom Elevate is a workplace service. It is not directed to children, and we do not knowingly collect information from anyone under 16.

Your employer decides who receives access. If you are under 18, your employer should confirm that participation is appropriate under the laws that apply to your employment, and you should talk to a parent or guardian before using features that involve personal reflection or financial information.

If you believe someone under 16 has provided us information, email privacy@phenomelevate.com and we will delete it.

Changes

We'll post material changes here and update the date above. If a change materially affects how we handle your information, we'll notify you in the app or by email.
